How to Access and Export Scheduled Orders (Order & Production Reports)?

Accessing Scheduled Orders


Use the Bird App dashboard for accurate fulfillment management and order visibility.


The Bird App provides a centralized view of all scheduled orders with powerful filtering and sorting capabilities. You can view upcoming deliveries and pickups in multiple ways:


  1. In the Bird App: Navigate to the Orders section in your dashboard
  2. Calendar View: Within the Bird Orders page, click Orders Calendar to view orders organized by day
  3. List View: Sort orders by Delivery Date using the date picker


The dashboard allows you to sort and filter orders in the Bird App by delivery date, creation date, delivery method, location, and order status—making it easy to find the specific orders you need.


To export these orders, use one of the following methods:

  1. Production Report (CSV Export)
  2. Export Order Information (CSV Export)
  3. Export Using Shopify Admin (Filtered Order List Export)
  4. Google Calendar Export


1. Production Report (CSV Export)


The Production Report exports scheduled order data as a CSV file containing product-level information for inventory and production planning. This feature is available on Advance and Premium subscription plans.


Report Contents


The exported CSV file contains the following columns:


  • Product_Name - Product name for item identification
  • Variant_Name - Product variation name
  • SKU - Stock keeping unit identifier
  • Quantity - Exact amounts needed
  • Item_Properties - Custom product properties
  • Product_ID - Unique product identifier
  • Variant_ID - Unique product variant identifier


Note: The report includes production data only (products and quantities). It does not include order numbers, customer information, or delivery addresses. For full order details, use the Shopify Admin export method below.


Step-by-Step Guide: Generate Production Report

  1. Access the Orders Section: Navigate to Orders page within the Bird App
  2. Select Specific Orders: Select the orders you wish to include in the report using checkboxes or filters
  3. Initiate Export: Click the three dots icon (⋯) that appears on the right side after selecting orders, then select "Export Production Report" from the dropdown menu
  4. Retrieve Report: The system automatically sends the generated CSV file containing the production requirements to your registered email address
  5. Review: Download and open the CSV file to view your detailed production requirements


If you don't receive the email: Check your spam folder and verify that the email address registered in your Bird App account is correct. The report is sent from the system and may take some time to arrive depending on email server processing.


2. Export Order Information (CSV Export)


The Export CSV feature exports complete order-level information including customer details, delivery information, and order status. This export provides full order data for fulfillment and customer communication.


Report Contents


The exported CSV file contains the following columns, organized by category:


Order Information:

  • order_name - Order number
  • total_price - Total order price
  • line_items - Product line items
  • financial_status - Payment status
  • fulfillment_status - Fulfillment status
  • note - Order notes


Delivery/Pickup Information:

  • delivery_method - Pickup, delivery, or shipping method
  • delivery_date - Scheduled delivery/pickup date
  • delivery_time - Scheduled delivery/pickup time slot
  • delivery_location - Delivery or pickup location address
  • delivery_day - Day of week for delivery


Customer Information:

  • customer_name - Customer's name
  • contact_email - Customer email address
  • phone_number - Customer phone number
  • collector_name - Collector name (for pickup orders)
  • collector_email - Collector email (for pickup orders)


System Information:

  • shopify_order_id - Shopify order ID
  • location_id - Store location ID
  • created_at - Order creation timestamp
  • shopify_admin_url - Direct link to order


Step-by-Step Guide: Export Order Information


The process follows the same steps as the Production Report, with one difference in the export selection:


  1. Access the Orders Section: Navigate to Orders page within the Bird App
  2. Select Specific Orders: Select the orders you wish to include in the report using checkboxes or filters
  3. Initiate Export: Click the three dots icon (⋯) that appears on the right side after selecting orders, then select "Export CSV" from the dropdown menu
  4. Retrieve Report: The system automatically sends the generated CSV file containing complete order information to your registered email address
  5. Review: Download and open the CSV file to view your detailed order data


3. Export Using Shopify Admin (Filtered Order List Export)


Export scheduled orders directly from Shopify Admin using the order tags automatically created by the Bird App. This method allows you to leverage Shopify's native export functionality to download filtered order lists with complete order details.


How it works: When Order Tagging is enabled, Bird Pickup & Delivery automatically tags all orders with delivery information (delivery date, delivery method, etc.). These tags are used to filter orders in Shopify Admin, isolating only the orders managed by Bird App. Once filtered, you can export the filtered list using Shopify's standard export functionality.


Prerequisites


Order Tagging must be enabled in Bird App Settings > Order Management. When enabled, Bird Pickup & Delivery automatically tags all new orders with delivery information (delivery dates, delivery methods, location tags). These tags enable the filtering system to work—without tags, you cannot identify which orders are Bird App orders versus regular Shopify orders.


Step-by-Step Guide: Filter Orders for Export via Shopify Admin


For comprehensive filtering instructions, refer to our guide on how to sort and filter orders in Shopify Admin. The process includes:


  1. Enable Tagging: Go to Bird App Settings > Order Management and enable Order Tagging (required for filtering to work)
  2. Navigate to Shopify Orders: In your Shopify admin, navigate to Orders
  3. Access Filtering Tools: Click the Search and filter icon
  4. Add a Filter: Select Add filter from the options
  5. Filter by Date or Method: The tags created by Bird App enable these filters:
  • Filter by Specific Delivery Date: Choose Tagged with from the dropdown, then select or type to search for the specific delivery date tag (e.g., "December 15, 2024")
  • Filter by Delivery Month: Choose Tagged with, then in the search box, type the month name (e.g., "December" or "December 2024") and press Enter or select the suggestion
  • Filter by Delivery Method (Tag): Choose Tagged with, and select the delivery method tag (pickup, delivery, or shipping)
  • Filter by Delivery Method (Shopify Filter): Choose Delivery method from the dropdown, and select Local Delivery, Store Pickup, or Shipping

Note: All these filters work because Bird App tags orders with delivery information. The tags allow you to isolate Bird App orders from your full order list.

  1. Export Orders: Once the filtered list displays only the Bird App orders you need, click Export (located in the top-right area of the filtered orders page) to download the orders in your preferred format


Export File Contents


The exported CSV from Shopify Admin includes all standard Shopify order fields. Key columns include:


Order & Customer Information:

  • Name - Customer name
  • Email - Customer email
  • Financial Status - Payment status
  • Fulfillment Status - Fulfillment status
  • Currency - Currency code
  • Total - Order total
  • Created at - Order creation date
  • Tags - All order tags (including Bird App tags)


Shipping & Delivery:

  • Shipping Method - Shipping method used
  • Shipping Address - Complete shipping address (Street, City, Zip, Province, Country, Phone)
  • Billing Address - Complete billing address (Street, City, Zip, Province, Country, Phone)
  • Location - Fulfillment location


Product Line Items:

  • Lineitem quantity - Product quantity
  • Lineitem name - Product name
  • Lineitem price - Product price
  • Lineitem sku - Product SKU
  • Lineitem compare at price - Product compare at price
  • Lineitem discount - Discount applied to line item


Additional Fields:

  • Payment details (Payment Method, Payment Reference, Paid at)
  • Tax information (Tax 1-5 Name/Value, Taxes, Duties)
  • Discount information (Discount Code, Discount Amount)
  • Notes and attributes
  • Employee and device information
  • Risk level and source data


Note: Shopify exports include 50+ columns with comprehensive order information. To see the complete list of available fields, perform an export and review the CSV file.


Note: If you notice that your pickup and local delivery orders are showing as "Shipping" in Shopify, this is a known display issue that doesn't affect functionality. Learn more about why pickup and local delivery orders show as "Shipping" and how to work with it.


Google Calendar Export


All scheduled orders can be synced automatically to Google Calendar as events, complete with customer details, delivery/pickup times, and order information.
