How to Access and Export Scheduled Orders (Order & Production Reports)?

Export scheduled orders using CSV files or Google Calendar for fulfillment planning and inventory management.


Export order data using five methods: Order Details Reports for order information, Production reports for inventory planning, Shopify Admin exports for complete order details, Google Calendar sync for team visibility, and Automated reports for scheduled delivery.


Reports are sent to your registered email address within a few minutes after export.


Export orders using one of these methods:

  1. Order Details Report (CSV Export)
  2. Production Report (CSV Export)
  3. Export Using Shopify Admin
  4. Google Calendar Export
  5. Automated Reports


1. Order Details Report (CSV Export)


Export complete order-level information including customer details and delivery data.


Use Order Details Report when you need complete order details with customer information (e.g., collector's name). Use Production Report when you need product quantities for inventory planning.


Report Contents


The exported CSV file contains these columns:


Order Information:

  • order_name - Order number
  • total_price - Total order price
  • line_items - Product line items
  • financial_status - Payment status
  • fulfillment_status - Fulfillment status
  • note - Order notes


Delivery/Pickup Information:

  • delivery_method - Pickup, delivery, or shipping method
  • delivery_date - Scheduled delivery/pickup date
  • delivery_time - Scheduled delivery/pickup time slot
  • delivery_location - Delivery or pickup location address
  • delivery_day - Day of week for delivery


Customer Information:

  • customer_name - Customer's name
  • contact_email - Customer email address
  • phone_number - Customer phone number
  • collector_name - Collector name (for pickup orders)
  • collector_email - Collector email (for pickup orders)


System Information:

  • shopify_order_id - Shopify order ID
  • location_id - Store location ID
  • created_at - Order creation timestamp
  • shopify_admin_url - Direct link to order


Step-by-Step Guide: Export Order Details Report


Follow these steps to export order details:


  1. Navigate to the Orders page within the Bird App
  2. Choose how to filter orders by date using the Sort by dropdown in the top-right:
  • Delivery Date - Shows orders scheduled for a specific delivery date
  • Created At - Shows orders placed on a specific date
  1. Use the date picker to select your desired date range
  2. Select specific orders using checkboxes, or select all
  3. Click the three dots icon (...) that appears after selecting orders
  4. Select "Export Order Details" from the dropdown menu
  5. Check your registered email address for the CSV file (arrives within a few minutes)
  6. Download and open the CSV file to view your order data


You are done. Your CSV file contains complete order information.


When filtering "today's orders," choose "Delivery Date" for orders scheduled today, or "Created At" for orders placed today. The date picker filters based on your selected "Sort by" option.


2. Production Report (CSV Export)


Export product-level data for inventory planning and production scheduling.


Report Contents


The exported CSV file contains these columns:


  • Product_Name - Product name for item identification
  • Variant_Name - Product variation name
  • SKU - Stock keeping unit identifier
  • Quantity - Exact amounts needed
  • Item_Properties - Custom product properties
  • Product_ID - Unique product identifier
  • Variant_ID - Unique product variant identifier


The report includes production data only. It does not include order numbers, customer information, or delivery addresses. Use the Order Details Report or Shopify Admin export method for full order details.


Step-by-Step Guide: Generate Production Report


Follow these steps to create and download your production report:


  1. Navigate to the Orders page within the Bird App
  2. Choose how to filter orders by date using the Sort by dropdown in the top-right:
  • Delivery Date - Filters by scheduled delivery date
  • Created At - Filters by order creation date
  1. Use the date picker to select your desired date range
  2. Select specific orders using checkboxes, or select all
  3. Use additional filters as needed:
  • Delivery method - Filter by pickup or delivery orders
  • Order status - Filter by order status (pending, confirmed, etc.)

  1. Click the three dots icon (...) that appears after selecting orders
  2. Select "Export Production Report" from the dropdown menu

  1. Check your registered email address for the production report (arrives within a few minutes)

  1. Download the CSV file and open it to view your production requirements


Displays the downloaded production report file ready for review


You are done. Your production report is ready.


If you don't receive the email, check your spam folder. Verify that your registered email address is correct. The report may take time to arrive depending on email server processing.


The "Sort by" dropdown determines which date field the date picker uses for filtering. Select "Delivery Date" to filter by scheduled delivery dates, or "Created At" to filter by when orders were placed.


3. Export Using Shopify Admin (Filtered Order List Export)


Export scheduled orders directly from Shopify Admin using order tags.


Order tags are created automatically when Order Tagging is enabled in Bird. Configure order tagging first if not already enabled.


How it works: When Order Tagging is enabled, Bird Pickup & Delivery automatically tags all orders with delivery information. These tags help filter orders in Shopify Admin. Export the filtered list using Shopify's standard export functionality.


Step-by-Step Guide: Filter Orders for Export via Shopify Admin


  1. Go to Bird App Settings > Order Management and enable Order Tagging
  2. In your Shopify Admin, navigate to Orders
  3. Click the Search and filter icon
  4. Select Add filter from the options
  5. Filter by date or method using these options:
  • Filter by Specific Delivery Date: Choose Tagged with from the dropdown. Select or type to search for the specific delivery date tag (e.g., "December 15, 2024")
  • Filter by Delivery Month: Choose Tagged with. Type the month name (e.g., "December" or "December 2024") in the search box. Press Enter or select the suggestion
  • Filter by Delivery Method (Tag): Choose Tagged with. Select the delivery method tag (pickup, delivery, or shipping)
  • Filter by Delivery Method (Shopify Filter): Choose Delivery method from the dropdown. Select Local Delivery, Store Pickup, or Shipping
  1. Once the filtered list displays only the Bird App orders you need, click Export in the top-right area
  2. Download the orders in your preferred format


You are done. Your filtered order list is exported with complete order details.


Export File Contents


The exported CSV from Shopify Admin includes all standard Shopify order fields. Key columns include:


Order & Customer Information:

  • Name - Customer name
  • Email - Customer email
  • Financial Status - Payment status
  • Fulfillment Status - Fulfillment status
  • Currency - Currency code
  • Total - Order total
  • Created at - Order creation date
  • Tags - All order tags (including Bird App tags)


Shipping & Delivery:

  • Shipping Method - Shipping method used
  • Shipping Address - Complete shipping address (Street, City, Zip, Province, Country, Phone)
  • Billing Address - Complete billing address (Street, City, Zip, Province, Country, Phone)
  • Location - Fulfillment location


Product Line Items:

  • Lineitem quantity - Product quantity
  • Lineitem name - Product name
  • Lineitem price - Product price
  • Lineitem sku - Product SKU
  • Lineitem compare at price - Product compare at price
  • Lineitem discount - Discount applied to line item


Additional Fields:

  • Payment details (Payment Method, Payment Reference, Paid at)
  • Tax information (Tax 1-5 Name/Value, Taxes, Duties)
  • Discount information (Discount Code, Discount Amount)
  • Notes and attributes
  • Employee and device information
  • Risk level and source data


Shopify exports include 50+ columns with comprehensive order information. Perform an export and review the CSV file to see the complete list of available fields.


If pickup and local delivery orders show as "Shipping" in Shopify, this is a known behavior. It does not affect functionality. Learn more about why pickup and local delivery orders show as "Shipping".


4. Google Calendar Export


Sync all scheduled orders automatically to Google Calendar as events.


Includes customer details, delivery/pickup times, and order information. Provides an accessible, non-CSV way to view and share delivery schedule data. Learn how to track orders on Google Calendar for automated scheduling and team visibility.


5. Automated Reports


Schedule automatic report delivery to your email on a daily or weekly basis.


Step-by-Step Guide: Set Up Automated Reports


Follow these steps to configure automated reports:


  1. Navigate to Bird App Settings > Automated Reports
  2. Enter the email address that should receive the report
  3. Add multiple email addresses separated by commas if needed
  4. Select the days of the week when the export will be sent
  5. Select the time of day (UTC) when the report should be sent
  6. Select a delivery option to filter reports (or select all): Store pickup, Local delivery, Shipping.
  7. Choose the email frequency: Daily or Weekly
  8. Select the type of report: Production report or Order Details Report
  9. Click Submit to save your automated report settings


You are done. Your automated reports will be sent according to your schedule.


Automated reports use UTC time. Convert your local time to UTC when setting the schedule.


Reports are sent only for orders that match your selected delivery option filter. If you select "Store pickup", only pickup orders are included in the report.
