How To Set Up Order Notes, Location Assignment, and Fulfillment Automation

Automatically sync fulfillment details to Shopify order notes, assign locations, and sync fulfillment status between Bird App and Shopify.


Order Notes and Fulfillment settings streamline your packaging workflow. Automatically add delivery information to order notes. Assign orders to correct Shopify locations. Sync fulfillment status between Bird App and Shopify. Send branded confirmation emails when orders are fulfilled.

Enable Append Date/Time to Order Note


Enable this setting to automatically add delivery details to Shopify order notes. Your team sees the fulfillment method, date, time, and location directly in Shopify. This works best when printing packaging slips from order notes.


  1. Go to Bird App Settings > Order Management > Order Notes and Fulfillment.
  2. Toggle on "Append Date/Time to order note."
  3. Delivery information appears in order notes automatically.


Delivery details appear in a dedicated section separated by a delimiter. The section updates automatically when customers change delivery details. Information uses your custom order note template format.


Order notes have a 5,000-character limit. Older content may truncate if the limit is exceeded.


This feature applies to orders created after it is enabled. Also, orders older than 60 days are not updated automatically. For more info, see: Why can't I access orders older than 60 days?


Configure Order Note Translation


Enable translation to display order note labels in your customer's language. Labels like "Delivery Method" and "Delivery Date" appear translated. Delivery method names, dates, and times also translate.


  1. Go to Bird App Settings > Order Management > Order Notes and Fulfillment.
  2. Toggle on "Translate order note labels."
  3. Labels display in the customer's language automatically.


Translations use the customer's locale when they placed the order. If a translation is unavailable, the system uses English. Both labels and values translate together.


Translations require language settings configured in Bird App. Date and time formats follow each language's format settings.


Customize Order Note Template


Customize how delivery information appears in order notes. Control the format, order, and which details are included. Use placeholders to build your template.


  1. Go to Bird App Settings > Order Management > Order Notes and Fulfillment.
  2. Find the "Order note template" field.
  3. Enter your template using placeholders.
  4. Save your changes.


Templates use Liquid syntax, the same system Shopify uses. Placeholders replace with actual delivery information when orders are created or updated.


Available Placeholders:


  • {{ delivery_method_label }} - Label for delivery method
  • {{ delivery_method }} - Actual delivery method name
  • {{ delivery_date_label }} - Label for delivery date
  • {{ delivery_date }} - Formatted delivery date
  • {{ delivery_time_label }} - Label for delivery time
  • {{ delivery_time }} - Delivery time slot
  • {{ delivery_location_label }} - Label for delivery location
  • {{ delivery_location }} - Location name or address
  • {{ collector_name }} - Name of person picking up
  • {{ collector_email }} - Email of person picking up

Empty placeholder values are removed automatically. Placeholders are case-sensitive. Use exactly as shown above.


Templates must use valid Liquid syntax. Invalid templates may cause issues.


Enable Automatic Location Assignment


Enable this setting to assign orders to correct Shopify locations automatically. Orders route to the right fulfillment location based on delivery method and customer selection.


  1. Go to Bird App Settings > Order Management > Order Notes and Fulfillment.
  2. Toggle on "Assign order location in Shopify."
  3. Orders assign to locations automatically.


Pick Up orders assign to the selected pickup location. Delivery orders assign to the location configured for that delivery area. Shipping orders skip location assignment intentionally.


Location assignment requires locations to exist in both Bird App and Shopify. Shipping orders skip location assignment.


Enable Automatic Fulfillment Sync


Enable this setting to mark orders as fulfilled in Shopify automatically. When you mark orders as "Picked Up" or "Delivered" in Bird App, Shopify updates to "Fulfilled" status.


  1. Go to Bird App Settings > Order Management > Order Notes and Fulfillment.
  2. Toggle on "Fulfill order in Shopify when marked picked up or delivered in Bird App."
  3. Mark orders as picked up or delivered in Bird App.
  4. Shopify order status updates to "Fulfilled" automatically.


The system creates a fulfillment in Shopify with all order line items. This works for Pick Up and Delivery orders only. Shipping orders are excluded from automatic fulfillment.


Enable Automatic Email Notifications


Enable this setting to send pickup or delivery emails automatically. When orders are fulfilled in Shopify, customers receive Bird App's branded confirmation emails.


  1. Go to Bird App Settings > Order Management > Order Notes and Fulfillment.
  2. Toggle on "Automatically send Bird picked up or delivered email when an order is fulfilled."
  3. Fulfill orders in Shopify dashboard or through third-party apps.
  4. Customers receive confirmation emails automatically.


Bird App detects when order status changes from "Unfulfilled" to "Fulfilled" in Shopify. Pick Up orders trigger "Order Picked Up" emails. Delivery orders trigger "Order Delivered" emails. Emails use Bird App's templates and settings.


Email notifications must be enabled in your Bird App settings for this feature to work. The email sends when the order transitions from "Unfulfilled" to "Fulfilled" status.
